Terms and Conditions of Trek Langtang

Welcome to Trek Langtang. By booking a trip with us, you agree to the following Terms & Conditions. Please read them carefully.

Booking & Confirmation

  • All bookings must be made in writing (email or booking form).
  • A deposit of 20 % of the total trip cost is required to confirm your booking.
  • The balance is paid upon arrival in Kathmandu before the trek commences.

Payment

  • We accept payments via bank transfer, credit card, or other agreed methods.
  • Any transaction fees or bank charges must be covered by the client.
  • Prices are quoted in USD (or specify currency) unless stated otherwise.

Cancellation by the Client

  • Cancellations must be sent in writing.
  • Cancellation fees apply as follows:
    • For cancellations confirmed at least 72 hours prior to departure, a full refund will be issued, minus any applicable transaction, bank transfer, or related fees.
    • If a client cancels within 48 hours of departure due to illness or a family emergency, or after arriving in Kathmandu and completing full payment, a refund will be provided after deducting any expenses already incurred, such as flight cancellation fees, hotel charges, porter payments, and other related costs.

Cancellation by the Company

  • We reserve the right to cancel a trip due to unforeseen circumstances (natural disasters, political unrest, insufficient participants, etc.).
  • In such cases, we will offer an alternative trip or a full refund.

Travel Insurance

  • All clients must have valid travel insurance covering medical expenses, accidents, evacuation, and trip cancellation.
  • Proof of insurance is requested before departure.
  • Our insurance policy covers our staff

Health & Safety

  • Clients are responsible for ensuring they are physically fit for the trip.
  • Please inform us of any medical conditions in advance.
  • We are not liable for injuries, illnesses, or accidents beyond our control.

Itinerary Changes

  • The itinerary may be adjusted due to weather, road conditions, health of participants, or other unavoidable factors.
  • Our guide/leader has full authority to make final decisions for the safety and comfort of the group.
  • The client is liable to bear the cost of any additional nights in a hotel, should flights be delayed or canceled (unforeseeable events).

Liability

  • Trek Langtang is not responsible for loss, theft, damage of personal belongings, flight delays, cancellations, or extra costs due to circumstances beyond our control.
  • Clients participate at their own risk.

Complaints

  • Any complaints should be raised immediately with your guide or tour leader.
  • If not resolved on the spot, please contact our office in writing.
